Job Description

The General Clerk I- Mail Clerk follows detailed specific procedures in completing several repetitive clerical steps performed in a prescribed or slightly varied sequence such as coding and filing documents in an extensive alphabetical file; could involve simple posting to individual accounts, opening mail, calculating and posting charges to departmental accounts, operating basic office equipment, e.g. photocopier, facsimile, multi-line phone/voicemail systems, mailing machines, and minimal computer programs. Little or no subject-matter knowledge is required but the clerk uses his or her judgment in choosing the proper procedure for each task (WDR Summary 01111).

  • Sorts all incoming mail (first-class, bulk) according to specific mail codes.
  • Maintains daily mail counts verifying arrival and delivery of all regular mail. Delivers and secures signature(s) of all accountable mail to the intended recipient within two hours from the time it is received in the mailroom.
  • Conducts quality control checks per location and mail run to ensure that the mail is routed to the intended mail stop location.
  • Distributes and collects mail on two scheduled mail deliveries per day (10:00 a.m. and 2:00 p.m.) throughout HUD Headquarters and/or HUD Satellite offices according to established routes and procedures.
  • Operates UPS WorldShip and CampusShip, meters, and the Arrival System.
  • Responsible for safety within the scope of work by proper use of equipment and adherence to safety policies.
  • Completes and maintains all Didlake required training.
  • Processes Federal Express, UPS, Certified, Registered, Express, Insured, Delivery, and Signature Confirmation accountable mail.
  • Re-addresses undeliverable mail (incomplete, incorrect, illegible addresses) using personnel directories and/or computer database
  • Prepares and bags outgoing interoffice and pouch mail.
  • Receives, sorts and distributes newspapers to intended recipients.
  • Acts as a good steward of Didlake and Government funding and resources.
