Position Description
We are seeking an Administrative Assistant to support executive and senior management and executive support staff in our Director's Office . This position will perform a variety of administrative, secretarial, and clerical functions ensuring timely and accurate completion of assigned tasks. The successful applicant will be a professional individual who will work effectively as a member of the Director’s office support team. Duties include but are not limited to: providing phone coverage for members of the Director’s Office which include executive and senior management as well as executive support personnel; coordinating payable processing including invoices, expense reports and other procurement forms; maintaining supplies, researching travel options for the Director and Deputy Director; overseeing outgoing bulk mailings and daily mail distribution; providing backup to and for the Executive Assistants; supporting the Director or Deputy Director. This position requires a Monday through Friday Work week with hours from 8AM to 5PM daily.
We seek someone who is capable of taking direction from multiple individuals. S/he must be able to think outside of the box and adapt easily to a dynamic and changing environment. Duties require the candidate to routinely demonstrate initiative and exercise independent judgment. The ability to remain positive and poised in stressful situations is essential. Strong organizational skills with attention to detail and follow through are critical to success as is the ability to work independently under general supervision and follow established policies and procedures. Must be able to communicate effectively both verbally and in writing and have prior experience successfully supporting senior management personnel. Candidate must be proficient with Microsoft Office Suite, Access, and Outlook. Familiarization with Blackberry and I-phones is also required.
Minimum experience requirements are 3 years of progressively responsible support in an office setting with routine interaction with senior management. High School Degree required. Some college or business training highly preferred. Experience in a scientific or technical environment preferred.
